Flo Meridian Institute™ ("FMI", "we", "our" or "us") respects your privacy and is committed to protecting your personal information. This Privacy Policy explains what information we collect, why we collect it, how we use it, how we protect it and the rights and choices you may have regarding your personal information. It applies when you interact with FMI through our website, enquiries, masterclasses, assessments, discovery calls, coaching programmes, memberships, events, communications and related services.

Who we are

Flo Meridian Institute provides coaching, leadership development, educational programmes, workshops, masterclasses, memberships and related services designed to help successful women create sustainable success without sacrificing their health, relationships or purpose. For the purposes of applicable UK data-protection law, Flo Meridian Institute is responsible for determining how and why personal information is processed in connection with its services, except where another organisation acts independently in relation to its own processing.

Information we collect

  • Personal information — name, email address, telephone number, postal address, country of residence, occupation and company or organisation, where applicable.
  • Programme information — masterclass registration and participation, programme applications, assessment and diagnostic responses, discovery call information, coaching goals, your Confidential Client Onboarding Questionnaire responses, coaching and programme records, Alignment Actions™, Weekly Alignment Reviews™, implementation submissions and feedback, Personalised Growth Roadmaps, Week 6 Midpoint Progress Reviews, Personal Alignment Blueprints, Week 12 Final Transformation Reviews, 90-Day Sustainability Plans, and communications relevant to programme delivery.
  • Sensitive or special category information — coaching conversations, questionnaires and programme activities may sometimes involve information of a sensitive nature, including information relating to wellbeing or other personal circumstances. FMI does not require clients to provide unnecessary medical histories, and processes any sensitive information only where relevant and in accordance with applicable data-protection requirements.
  • Payment information — payments are processed through appropriate third-party payment providers; FMI does not store your full debit or credit card details.
  • Website and technical information — IP address, browser type, device information, operating system, pages visited, time spent on pages and website usage information, collected automatically to operate, secure, understand and improve our website and online services.

How we use your information

Depending on your relationship with FMI, we may use your information to provide coaching and leadership-development services, deliver programmes and memberships, process registrations and applications, administer assessments and diagnostics, personalise programme delivery, prepare personalised programme outputs, provide implementation feedback, review progress, schedule appointments, communicate with you, process payments, maintain appropriate coaching and programme records, operate client or member areas, support appropriate AI-assisted programme functions where applicable, and meet legal, regulatory and legitimate operational responsibilities. Where you've given appropriate consent, we may also send newsletters and updates about future programmes or services — you can unsubscribe at any time.

Lawful basis for processing

The lawful basis relied upon depends on the information concerned and the purpose for which it is being processed. Depending on the circumstances, FMI may rely on your consent, performance of a contract or steps taken in connection with a contract, compliance with a legal obligation, or FMI's legitimate interests (provided those interests are not overridden by your applicable rights and freedoms). Where FMI relies on consent, you may withdraw that consent at any time; withdrawal does not affect processing that was lawful before consent was withdrawn.

AI-supported processing

FMI may use carefully selected AI-supported tools within aspects of programme administration, assessment support, synthesis, personalisation, feedback and progress review. Where personal information is used within an AI-supported process, FMI seeks to limit processing to information reasonably relevant to the intended purpose and applies appropriate privacy and data-protection safeguards. AI-supported tools do not replace Flo's coaching judgement or independently determine significant coaching decisions about a client.

How we protect your information

FMI takes appropriate technical and organisational measures to protect personal information against unauthorised access, loss, misuse, inappropriate disclosure, alteration or destruction. Access to personal information is limited to individuals who reasonably require it to perform their authorised responsibilities.

Who we share it with

FMI does not sell your personal information. Where reasonably necessary, information may be shared with appropriate service providers that support FMI's operations, including providers of:

  • Stripe — payment processing.
  • Google Calendar and Zoom — scheduling and video conferencing for discovery calls, coaching sessions, and the masterclass.
  • Groq — AI-supported language processing used to help draft assessment observations and internal coach reports.
  • Hostinger and Fasthosts (LiveMail) — website hosting, cloud storage and email delivery.

FMI seeks to use service providers subject to appropriate contractual, privacy and security arrangements where required by applicable law. Information may also be disclosed where FMI is required or permitted to do so by law.

International data transfers

Some service providers may process personal information outside the United Kingdom. Where personal information is transferred internationally, FMI seeks to ensure that an appropriate lawful transfer mechanism and applicable safeguards are in place as required by UK data-protection law.

Cookies

Data retention

FMI's services are intended for adults. We do not knowingly collect personal information from children under the age of 18; if we become aware that such information has been collected unintentionally, reasonable steps will be taken to delete it where appropriate.
